3. How Is Your Career Affected?


• You start by selecting your list of invitees from the Contacts tab by retrieving the contact details including their physical addresses so that you can give them directions. Everybody will be clear about where the meeting will be held. So they will be able to plan their time.

• Before you distribute your email, you check the Calendar to verify the availability of the participants.

• Then you can use Mail to send a personalized message to each invitee. If you are the smart kind you will opt for mail merge. No spam or bulk email.

• You will also use the Task tab to break down every task that needs to be performed to make sure the meeting is a success. Things like: who needs to be invited?, when are they supposed to be invited, is agenda ready, has the venue been booked, what supporting material is needed, by when should it be acquired, when will you make your manager aware that everything will run like a well-oiled machine, etc.

• Don’t overlook using the Journal. It is a most forgotten and less considered feature of MS Outlook. With the Journal you check on a lot of things. Example: files or documents that the manager has been accessing that have information he may want to use for the meeting. This information will come in handy when you want to create a useful agenda.
